What the research says
The videos deliberately ask you to work things out with your own numbers rather than borrowed ones. But if you want outside evidence that the front office is worth the attention, here are two findings — with sources, so you can check them yourself.
Nearly 80% of patients who switched provider did so for reasons of ease of navigation — difficulty doing business, poor experiences with administrative staff, inadequate digital tools. That is nearly double the rate of switching over a poor clinical experience. Patients who find a provider very easy to work with are nine times more likely to stay.
Accenture, Health experience: The key to improving patient loyalty (2022). Survey of 21,000 US consumers. US data — we have not seen an equivalent Canadian study.
Across 21 randomised studies, patients sent digital appointment notifications had a no-show rate of 15% against 21% for those sent none — a risk ratio of 0.75 (95% CI 0.68–0.82). Multiple reminders raised attendance by 25%, against 6% for a single reminder.

Trailhead Launch Package
The software is not the slow part — the decisions are. Trailhead is the onboarding that makes those decisions with you and configures everything around them: practice strategy, your appointment types and provider rules, the technical setup, your recall and reactivation rules, message templates reviewed against your College’s requirements, and your team trained on the result.
It is a one-time package, taken at sign-up. Most practices that skip structured onboarding are the ones still not using half of what they bought a year later.
Who this is not for
We would rather you worked this out here than on a call.
- Practices with no demand coming in. This handles demand better; it does not create it. If your phone is not ringing at all, that is a marketing problem and needs a different conversation.
- Anyone wanting to replace their scheduler. We deliberately do not do that. If you want one system for clinical, scheduling and marketing, we are not it.
- Practices shopping purely on price. There are cheaper tools on the market. If the monthly figure is the deciding factor rather than what it does, one of them will suit you better.

Do I keep Jane, ChiroSuite or ClinicMind?
Yes. Your scheduler does not change. HOPE reads your live availability and writes bookings back into it, and Office Optimizer sits alongside it holding the administrative side. Nothing is migrated and your team keeps working from the schedule they already use.
Does it hold clinical records?
No. It holds the non-clinical half — contact details, appointment history, messages, consent status and where someone sits in your process. Your chart stays in your clinical system.
What about my College’s advertising rules?
Commercial messaging is built around consent and unsubscribe from the start, and nothing defaults you into content your province restricts. Where your regulator does permit review and testimonial campaigns, we build those as well — it is configured per practice rather than assumed either way. You remain responsible for what you publish, but the setup should never be quietly working against your College.
Do I have to replace my phone provider?
No. HOPE answers your existing line. What changes is who picks up when your front desk cannot.
How long before it is actually running?
That depends on decisions only you can make — your appointment types, who takes new patients, what your recall rules are. The Launch Package exists precisely because those decisions are the slow part, not the software.
What if it turns out I do not need it?
Then we will say so on the call. If your constraint is demand rather than follow-through, a front office system will not fix it, and we would rather tell you that than sell you the wrong thing.
